Thanet Labs Ltd · England and Wales
Privacy Policy
Draft for review. How we use personal data when you apply for access, sign in or order.
1. Who we are
This notice explains how Thanet Labs Ltd, a company registered in England and Wales ("we", "us"), uses personal data when you use this RE:PHAZE site, apply for access or place an order. We are the controller of that data.
2. What we collect
- Contact and practice details: your name, title, email, phone, practice name and address.
- Professional credentials: your NPI, medical licence number and issuing state, DEA number if you provide one, and the licence document you upload.
- Account and order details: your sign-in details, orders, delivery addresses, invoices and correspondence with us.
- Payment details: handled by our payment provider. We do not store full card numbers.
- Technical data: your IP address, device and browser details and how you use the site, collected through cookies and server logs.
3. Why we use it
- To check that you are a licensed practitioner or clinic before we give you access, and to re-check your licence when it is due.
- To create your account, take and deliver orders, take payment and send invoices.
- To keep the records our licences and the law require.
- To answer your questions and to keep the site secure and working.
Our lawful bases are performing our contract with you, meeting our legal obligations, and our legitimate interest in supplying only verified customers and keeping our service secure.
4. Who we share it with
We share data only with the services that help us supply you: our business software and hosting providers, payment providers, warehouse and delivery partners, and credential-verification services. We may also share it with regulators or authorities where the law requires. We do not sell your personal data.
5. Transfers outside the UK
Some of these providers, and our United States warehouse, are outside the UK. Where that happens we use the safeguards the law requires, such as approved contract terms.
6. How long we keep it
We keep your account and credential records while your account is active and for as long afterwards as our licences, tax rules and legal claims require. We then delete or anonymise them.
7. Keeping it safe
We take reasonable technical and organisational steps to protect your data, including limiting who can see credential documents to staff who need them for verification.
8. Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or move it to another provider. Contact us at info@thanetlabs.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
9. Cookies
We use cookies that the site needs to work, such as keeping you signed in and remembering your basket. Where we use any others you will be asked first.
10. Changes
We may update this notice. The version on this page is the current one.
